OneDrive is used on computers for file backup, sharing, and continuity. Occasionally, Microsoft will require a fresh sign-in for security reasons (token expiration, risk checks, password/MFA changes, etc.). When that happens, OneDrive may pause syncing or sign out.
When OneDrive is not signed in, new/changed files may not upload, and other computers may not receive updates.
Do not sign into a different Microsoft account unless we specifically tell you to.
Signing into the wrong account can cause:
Files syncing to the wrong place
Duplicate folders
Sharing issues between computers
Data being tied to a staff member’s personal account (not recommended)
If you’re unsure, stop and contact us.
Look near the clock on the bottom-right of your screen (system tray).
You may see:
Blue cloud (OneDrive – Personal)
White cloud (OneDrive – Work/School / Microsoft 365)
Gray cloud or a cloud with a line/X (not signed in / error)
If you don’t see it, click the small ^ (show hidden icons).
Click the OneDrive cloud icon
Click the gear icon (Settings)
Choose Settings
Go to the Account tab
On the Account tab, you should see the email address the computer is using for OneDrive.

Please include:

Computer name (optional but helpful):
Press Windows key + R
Type: cmd
In the black window type: hostname and press Enter
What you’re seeing:
“OneDrive says not signed in”
“Sync paused”
“It keeps asking for password”
Any error message text
Once you send the OneDrive account email:
We will confirm it matches the intended Microsoft account
If needed, we will reset the password
We will help you get set up with MFA (Multi-Factor Authentication) in a secure, supportable way
If the sign-in requires live interaction or prompts you can’t complete by message, we’ll schedule a quick call
Please avoid:
Logging in with a personal Microsoft account (example: @gmail.com, @outlook.com)
Guessing passwords repeatedly (can trigger lockouts)
Clicking “Set up OneDrive” and choosing a random account
“Unlinking this PC” unless we instruct you (it can be safe, but we prefer to guide it)
Depending on the situation, you may see prompts like:
“Set up OneDrive”
“Your account needs attention”
“Sign in to sync files”
When we provide the updated credentials and MFA steps, we’ll guide you through:
Signing in with the Microsoft account
Approving MFA
Confirming OneDrive shows “Up to date”
After signing in:
Click the OneDrive cloud icon again
Look for a status like:
“Up to date”
“Syncing…” (this is normal for a while)
If it shows errors, send us a screenshot of the message
Sometimes a may ask to use a different Microsoft account for OneDrive.
That’s possible, but it must be reviewed first because:
OneDrive syncing affects what is shared and where it is stored
Switching accounts can cause the same files to sync to different places across computers
If a staff member leaves, access to data can be disrupted
