Microsoft 365 Setup Guide

Part 1: Initial Login and MFA Setup at outlook.office365.com

Initial Login

  1. Navigate to outlook.office365.com
  2. Enter your email address and click Next
  3. Enter your password and click Sign in
  4. You'll be prompted to provide additional security information

MFA Setup Process

  1. When prompted for more security information, select Next[1]
  2. From the dropdown menu, choose Mobile App[1]
  3. Select your preferred authentication method:
    • Receive Notifications for Verification - authenticate directly from your mobile app with fingerprint/biometric support[1]
    • Use Verification Code - enter a new verification code each time[1]
  4. Click Set Up and leave this browser window open[1]

Microsoft Authenticator App Setup

  1. On your phone, open your app store[1]
  2. Search for Microsoft Authenticator App[1]
  3. Install and open the app[1]
  4. Complete the setup wizard[1]
  5. Tap the plus sign (+) to add account[1]
  6. Choose Work or School Account[1]
  7. Accept required app permissions[1]
  8. Scan the QR code displayed on your computer[1]
  9. Once added, select Got It[1]

Complete MFA Setup

  1. Return to your computer and click Next twice[1]
  2. On your phone, note the verification code[1]
  3. Enter the code on your computer and click Verify[1]
  4. Enter a backup phone number (office number recommended)[1]
  5. Click Next, then Done[1]

Outlook App Setup for Android or iPhone

  1. Download Microsoft Outlook from Google Play Store or App Store
  2. Open the app and tap Get Started
  3. Enter your Microsoft 365 email address
  4. Tap Continue and enter your password
  5. Complete MFA challenge if prompted
  6. Configure notification and sync preferences
  7. Tap Done to complete setup

The Outlook app provides better integration with Microsoft 365 features and calendar sync compared to Gmail for Exchange accounts.

Built in Mail - iPhone Setup

  1. Open Settings on your iPhone.
  2. Scroll down to Apps (you may have to scroll quite a bit).
  3. Tap Mail.
  4. Tap Mail Accounts.
  5. Tap Add Account.
  6. Choose Microsoft Exchange.
  7. Enter your full email address
  8. Tap Next.
  9. Tap Sign In (not Configure Manually).
  10. Enter your password.
  11. Complete any two-factor authentication if prompted.
  12. Approve the sign-in request (if security policies require it).
  13. Choose what you’d like to sync (Mail, Contacts, Calendars, Reminders).
  14. Tap Save.

iPhone Default Contacts and Calendar Setup

Set Default Contacts Account

  1. Open Settings on your iPhone
  2. Scroll down and tap Apps
  3. Tap Contacts
  4. Tap Default Account
  5. Select your Microsoft 365/Exchange account from the list
  6. New contacts will now automatically save to this account

Set Default Calendar Account

  1. Open Settings on your iPhone
  2. Scroll down and tap Apps
  3. Tap Calendar
  4. Tap Default Calendar
  5. Select your Microsoft 365/Exchange calendar from the list
  6. New calendar events will now automatically save to this calendar

Key Notes

  • Default account only affects new entries - existing contacts/events stay in their original accounts
  • Setting is not retroactive - won't move existing data to the new default account
  • If you only have one account enabled for contacts/calendar, no default option will appear
  • You can always change the account/calendar for individual entries after creation

This ensures your iPhone uses your Microsoft 365 account as the primary storage for new contacts and calendar events, maintaining consistency with your work environment.
